Position Details

Role: Veterinary Receptionist

Status: Full-time

Salary: Negotiable and based on experience

Schedule: Monday–Thursday, 8:00 AM–5:00 PM; Friday, 8:00 AM–1:00 PM. An additional half day will be determined at the time of hire.

Hartfield Animal Hospital is looking for a friendly, dependable Veterinary Receptionist to join our fantastic team. As one of the first and last people our clients interact with, you’ll play an important role in making every visit feel welcoming, organized, and cared for.

Experience in a veterinary or customer service setting is preferred but not required. What matters most is that you’re a great communicator, enjoy working with people and pets, and are ready to jump in and support your teammates.

What Our Veterinary Receptionists Do

• Welcome clients and their pets and help create a positive experience from the moment they arrive
• Answer incoming calls and assist clients with questions, scheduling, and general hospital information
• Schedule and confirm appointments while helping maintain an organized daily flow
• Check clients and patients in and out efficiently
• Collect and process payments and maintain accurate client account information
• Update client and patient information and maintain accurate records
• Communicate with veterinarians and clinical team members to help coordinate patient care
• Relay messages and information accurately and promptly
• Assist clients with prescription and food requests according to hospital procedures
• Provide clear, compassionate communication during both routine and emotional situations
• Help address client questions and concerns and escalate issues appropriately when needed
• Maintain a clean, welcoming, and organized reception area
• Support your teammates and pitch in wherever needed to keep the front desk running smoothly

What Our Veterinary Receptionists Bring

• Previous veterinary reception or customer service experience is preferred but not required
• Excellent customer service and communication skills
• A friendly, professional, and compassionate approach to working with clients
• Strong organizational and multitasking skills
• Comfort managing phones, appointments, client questions, and competing priorities in a busy environment
• Attention to detail and the ability to maintain accurate records
• Confidence using computers and learning new software and technology
• The ability to communicate effectively with clients and coworkers in person, by phone, and electronically
• A team-first attitude and willingness to ask for help and offer it when someone else needs it
• Patience, empathy, and professionalism when navigating difficult or emotional conversations
• A genuine love for animals and the people who care for them
• A sense of humor and willingness to participate in the occasional mid-day meme exchange
